Refund Policy

Overview

This Refund Policy applies to all paid subscriptions to AnnotationBase, a product operated by Outcraft Studio, Bristol, United Kingdom. We want you to be happy with AnnotationBase. If something isn’t right, please get in touch and we will do our best to make it right.


Free tier

AnnotationBase offers a free tier with no time limit and no credit card required. We encourage all new users to try the free tier before upgrading to a paid plan. No refunds are applicable to the free tier as no payment is taken.


14-day goodwill period

If you upgrade to a paid plan and decide within 14 days of your first payment that AnnotationBase is not right for you, contact us at hello@outcraftstudio.com and we will issue a full refund to your original payment method via Stripe, no questions asked.

This 14-day goodwill period applies to:

— Your first payment on the Starter monthly plan — Your first payment on the Growth annual plan

It does not apply to subsequent billing cycles. If you were previously on a paid plan, cancelled, and then resubscribed, the 14-day period does not reset.


Cancellations outside the 14-day period

If you cancel your subscription after the 14-day goodwill period has passed, your access to the paid plan will continue until the end of your current billing period. No refund will be issued for the remaining unused time in that period.

For example: — If you are on the Starter monthly plan and cancel on day 20 of your billing cycle, you will retain access until the end of that month. No refund will be issued for the remaining days. — If you are on the Growth annual plan and cancel after 14 days, you will retain access until the end of your annual billing period. No refund will be issued for the remaining months.


Exceptional circumstances

Outside of the 14-day goodwill period, refunds are considered on a case by case basis. We will generally consider a refund in exceptional circumstances such as:

— A significant technical failure on our part that prevented you from using the service for an extended period — A billing error that resulted in you being charged incorrectly — Any other situation where we feel a refund is the fair and reasonable outcome

To request a refund under exceptional circumstances, please contact us at hello@outcraftstudio.com with your account details and a description of the issue. We will review your request and respond within 5 business days.

We reserve the right to decline refund requests that do not meet the above criteria. Our decision is final but we will always aim to be fair and reasonable.


Mid-cycle upgrades and downgrades

If you upgrade from the free tier to a paid plan mid-cycle, your billing period starts from the date of your first payment.

If you upgrade from Starter to Growth mid-cycle, any refund or credit for the unused portion of your Starter plan will be considered on a case by case basis. Please contact us to discuss.

If you downgrade from Growth to Starter, no partial refund will be issued for the remaining time on your annual plan unless agreed otherwise.


How refunds are processed

All approved refunds are issued to your original payment method via Stripe. Refunds typically appear within 5 to 10 business days depending on your bank or card provider. We are not responsible for delays caused by your bank or card provider once the refund has been issued on our end.


Accounts terminated for violations

If your account is suspended or terminated due to a violation of our Terms and Conditions, you will not be entitled to a refund for any unused portion of your subscription regardless of when in your billing cycle the termination occurs.


UK consumer rights

Nothing in this Refund Policy affects your statutory rights under UK consumer law, including your rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013. If you believe you have a statutory right to a refund that is not addressed here, please contact us and we will respond accordingly.

A few things worth noting:

  • The 14-day goodwill window is your strongest selling point here — it removes hesitation for annual plan buyers especially, since £100 is a meaningful commitment. Worth mentioning it on your pricing page too
  • The Consumer Contracts Regulations 2013 technically give UK consumers a 14-day cooling-off right on digital services, but this can be waived if the user agrees to immediate access when purchasing — worth checking with a solicitor whether your checkout flow covers this
  • Same caveat as the other documents — a legal review before publishing is recommended
