Please read these Terms and Conditions carefully before using AnnotationBase. By creating an account or using the service, you agree to be bound by these terms.
AnnotationBase is a product operated by Outcraft Studio (“we”, “us”, “our”), a design and development agency based in Bristol, United Kingdom. These terms govern your use of the AnnotationBase website and service available at annotationbase.com.
If you do not agree to these terms, please do not use the service.
1. Who we are

2. The service
AnnotationBase is a visual website feedback tool that allows users to leave comments directly on live websites, share review links with collaborators and clients, and manage feedback through to resolution.
We reserve the right to modify, suspend, or discontinue any aspect of the service at any time. Where possible, we will give reasonable notice of significant changes.
3. Eligibility and account registration
To use AnnotationBase you must:
- Be at least 16 years of age
- Provide accurate and complete information when creating your account
- Keep your account credentials secure and not share them with others
- Notify us immediately if you suspect unauthorised access to your account
You are responsible for all activity that occurs under your account. We are not liable for any loss or damage arising from your failure to keep your account secure.
4. Acceptable use
You may use AnnotationBase to annotate websites for the purpose of collecting and managing feedback. The tool is designed for use on websites you own, manage, or have been given permission to review.
You are solely responsible for ensuring your use of the service is appropriate and lawful. By using AnnotationBase, you agree not to:
- Use the service for any unlawful purpose or in violation of any applicable laws or regulations
- Annotate websites with the intent to harass, defame, or harm any individual or organisation
- Attempt to gain unauthorised access to any website, system, or network
- Use the service to distribute spam, malware, or any other harmful content
- Scrape, crawl, or extract data from AnnotationBase in an automated manner without our written consent
- Resell, sublicense, or otherwise commercialise access to the service without our written consent
- Attempt to reverse engineer, decompile, or otherwise access the source code of AnnotationBase
We reserve the right to investigate any suspected violation of these terms and to take appropriate action, including suspension or termination of your account.
5. User content
AnnotationBase allows you to submit content including project URLs, comments, and feedback text (“User Content”). You retain ownership of any User Content you submit.
By submitting User Content, you grant us a limited, non-exclusive licence to store and process that content solely for the purpose of providing the service to you.
You are solely responsible for your User Content. You represent and warrant that:
- You have the right to submit the User Content
- Your User Content does not infringe the intellectual property rights, privacy rights, or any other rights of any third party
- Your User Content does not contain anything unlawful, defamatory, obscene, or otherwise objectionable
We do not routinely monitor User Content but reserve the right to remove any content that violates these terms or is otherwise harmful.
6. Collaborators and guest access
AnnotationBase allows you to invite collaborators to your projects and share review links with clients and guests. When you do so:
- You are responsible for managing who has access to your projects
- You are responsible for the actions of any collaborators or guests you invite
- Guest commenters who access a project via a shared review link are subject to these Terms and Conditions by virtue of using the service
We recommend only sharing review links with people you trust and revoking access when it is no longer needed.
7. Plans and billing
AnnotationBase offers the following plans:
- Free — access to five projects with no time limit and no credit card required
- Pro Monthly — a monthly paid plan billed at £9.99 per month
- Pro Yearly — an annual paid plan billed at £99 per year
All paid plans are billed in advance. By subscribing to a paid plan, you authorise us to charge the applicable fees to your payment method via our payment processor, Stripe.
You can upgrade, downgrade, or cancel your plan at any time. If you cancel a paid plan, you will retain access to the features of that plan until the end of your current billing period. No partial refunds are issued for unused time within a billing period unless otherwise stated in our Refund Policy.
We reserve the right to change pricing at any time. Where we increase prices, we will give you at least 30 days’ notice before the change takes effect. Continued use of the service after a price change constitutes your acceptance of the new pricing.
8. Free tier
The free tier of AnnotationBase is available to all users at no cost and with no time limit. It is limited to five active project at a time.
We reserve the right to modify the features and limits of the free tier at any time. Where changes would significantly reduce the functionality available to free tier users, we will provide reasonable notice.
9. Intellectual property
AnnotationBase and all associated software, design, branding, and content are the intellectual property of Outcraft Studio and are protected by applicable copyright, trademark, and other intellectual property laws.
Nothing in these terms grants you any right to use our name, logo, or branding without our prior written consent.
You retain ownership of all User Content you submit. We make no claim to ownership of your projects, comments, or feedback data.
10. Suspension and termination
We reserve the right to suspend or terminate your account at any time, with or without notice, if we believe you have violated these Terms and Conditions or are using the service in a way that is harmful to others or to the integrity of the service.
You may close your account at any time by contacting us at hello@outcraftstudio.com. Upon account closure:
- Your access to the service will end at the close of your current billing period for paid plans, or immediately for free accounts
- Your project data and comments will be deleted within 30 days, except where we are required to retain billing records by law
If your account is terminated due to a violation of these terms, you will not be entitled to a refund for any unused portion of a paid subscription.
11. Availability and service levels
We aim to keep AnnotationBase available and running reliably, but we do not guarantee uninterrupted or error-free access to the service. The service is provided “as is” and “as available”.
We will endeavour to carry out maintenance and updates with minimal disruption and, where possible, outside of peak hours. We are not liable for any loss or inconvenience caused by planned or unplanned service interruptions.
12. Limitation of liability
AnnotationBase is provided as a software-as-a-service tool on an “as is” and “as available” basis. Your use of the service is entirely at your own discretion and risk.
To the fullest extent permitted by applicable law, Outcraft Studio expressly excludes all liability for any loss or damage of any kind arising out of or in connection with your use of, or inability to use, AnnotationBase — including but not limited to loss of data, loss of revenue, loss of business, loss of profits, or any indirect, incidental, special, consequential, or punitive damages, whether or not we have been advised of the possibility of such damages.
Where liability cannot be fully excluded under applicable law, our total aggregate liability to you for any and all claims shall not exceed £10, regardless of the basis of the claim.
Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.
13. Disclaimer of warranties
AnnotationBase is provided on an “as is” and “as available” basis without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
We do not warrant that the service will be free from bugs, errors, or security vulnerabilities, or that any defects will be corrected.
14. Third-party links and services
AnnotationBase may contain links to third-party websites or integrate with third-party services. We are not responsible for the content, privacy practices, or terms of any third-party services. Your use of third-party services is at your own risk and subject to their respective terms.
15. Changes to these terms
We may update these Terms and Conditions from time to time. When we do, we will update the “Last updated” date at the top of this document. Where changes are material, we will notify you by email at least 14 days before they take effect.
Your continued use of AnnotationBase after the effective date of any changes constitutes your acceptance of the updated terms. If you do not agree to the updated terms, you should stop using the service and close your account.
16. Governing law and disputes
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Before pursuing formal legal action, we encourage you to contact us directly at hello@outcraftstudio.com so we can attempt to resolve any dispute informally.
